How tasks & Run Sheet Items are created and interact

In Circolo you can have Tasks & Run Sheet Items Tasks

  • Tasks - something that needs to occur during planning or execution phases. They may not directly affect the run sheet for the event - e.g customer has paid deposit, confirm customers logo or DJ has been booked
  • Run sheet Items - they do affect the running day of the event. Florists have delivered flowers, AV have to set up staging, DJ bumping in & out or welcoming guest with a cocktail
Both types may be assigned to one or multiple people

1. Tasks

Creating a Task

  • Workspace dashboard > Current/Upcoming Events > open event or Side menu > Events > Current/Upcoming Events > Click arrow to open the event
  • Scroll to Task List > click View All Tasks
  • Click Create Task button
  • Complete the appropriate data. * denotes mandatory fields
    • Title* - what is the title that needs to be displayed?
    • Due Date* - what day is the task to be completed?
    • Due Time - if it is time driven
    • Priority - Low, Medium or High
    • Assigned to - which person or people are connected to this task
    • Tags - how would you like this task grouped with other tasks
    • Status - Pending, Progress or Complete
    • Reminder Method - Email or in-app
    • Notes - any additional notes relating to the task or the completion of it
    • Create Run Sheet Item - only if required. See Run Sheet Item section below
  • Click Create Task

2. Run Sheet Item Tasks

This type of task follows the same steps as a Task although it requires information as to when the item is to appear on the Run sheet.

  • Complete the above steps to create a Task
  • Tick the "Create a Run Sheet Item?" tick box
  • Enter in Start Date & Time
  • Enter in Finish Date & Time
  • Click Create Task button
